Minutes of EDaN Steering Group Meeting

Action items from previous meeting not covered by new agenda items

Sharing the presentation with other PC’s –Eaton Bray are not going to do one. Little Gaddesden will be contacted later.

Edlesborough Parish Council has agreed to support any additional cost of printing the plan over the original budget if necessary.

Finance

There are some expenses relating to the presentation events to be claimed, please pass receipts to Kathy. ACTION AW/JW/KB

Review of Public Meetings

Edlesborough was better attended than anticipated, and we did have a response at every meeting. We estimated numbers attending overall, in the region of 150 people. Both our District and County Councillors attended the presentations, which went across very well. The four person team of presenters are thanked for their particular input. Well done to all involved in supporting the events.

From the 16 projects that were identified for people to sign up to help with, the response was, in terms of names under each heading:

From these we are still missing the names of those who said yes to possible shop and/or youth group help, as indicated on the questionnaires.

Kathryn will type up the signing lists and send them back to Alan to circulate.

These topics do not duplicate or compete with Parish Council objectives, rather they complement them, for example, traffic issues are also being addressed by the Parish Council – a two pronged approach will be more effective.

Communications plans

Should we have a publicity officer? Yes. Ask Malcolm if Katrina would be willing to help mentor someone taking on this role, to give details of press contacts etc. Elizabeth will ask her WI press contact for information. We need a volunteer as press officer– please let AW know if you could do this.

Focus article each month –Alan has sent one in for April issue. For next time, the piece must focus on the groups that need more volunteers.

Direct campaign with fliers, doing our own delivery, asking for more help with the projects. We will seek volunteers to deliver them. Invite people to come and see us at Dagnall Fete and the Carnival.

Dagnall Fete – Sat 10th May, 12.30 to 4.00pm. We have been given a free pitch. We will need display boards, borrow from BCA? – help needed for manning the pitch – AW, PB, RE need to borrow a gazebo, can anyone help –. Investigate having EDaN Balloons printed (ask Buds of May)? Possibly seek some sponsorship from a local business. We may need to do new display material. Promote EDaN via Dagnall Fete programme. Consider some fundraising activity. ACTION ALL

St Mary’s Carnival – 5th July

Kathy will book a pitch, and then apply for a donation. Discuss details at the next meeting. ACTION KB

Sharing the detailed data with parish council

John Wilkinson has asked if the detailed data can be passed across to the parish council, as the information will be very useful for the parish council to use as evidence when working with other agencies. All agreed to pass the data across. ACTION EB

Follow up with volunteer groups

Kathryn will type up the lists of names – only some have email contacts, many will have to be contacted by telephone - perhaps we could ask someone in each group to contact others on the list.-discuss at next meeting

Drafting the plan

Need volunteers to draft the plan. AW, JW, EB, RD, KD, VL, KB.- others welcome, please let Alan know asap

Alan would, ideally, like to have a first draft ready in four weeks.

Review of the action plan format from BCA to include the plan

Kathy to send a template for an action plan to compare with the headings from the BCA action plan format. Look at at next meeting ACTION KB

Steering group draft terms of reference

Vicky to send terms of reference (agreed in March 2007) to Alan, to see if they need to be revised at a future meeting. ACTION VL
