New to the meeting are Lorna Cubbage & Kevin Cubbage, Phil Conacher, Alan Tipper, Richard Dorrance (all Northall residents). Graham Rust is the landlord of The Swan, and lives in Eaton Bray.

Minutes of meeting held on 26 March 2007

Relevant sections were read out to inform the new members of what had been discussed and agreed previously. ACTION VL/KC

Finance, and budgets for

Open days, Questionnaires, Publication of plan.

Kathy Bovington showed draft budgets, as originally produced by Kevin Cubbage, and an example of a typical budget for a parish plan. She is still awaiting response from two villages on the actual costs incurred completing their Parish Plans. (Cheddington and Wingrave). These will be forwarded once they are available. ACTION KB

Several figures in the budgets may not be reflective of the numbers/range that we may need, as when the funding was applied for, limits were in force.

A major cost will be printing questionnaires and then the finalised plan, and a discussion about printing ensued. Malcolm may be able to get copying done at cost through St Mary’s Church, or we could ask for help from Janes who offer a copying service; the parish council has a good laser printer and may help too, for the cost of paper and ink. Also Tony Denson had offered photocopying, Mick Yates has access too – so it could be spread around several venues.

Kathy Bovington also showed information from the lottery ‘community chest’ for possible grants that could be applied for to achieve elements of the completed plan. She also commented on two very important points

Any expenses must have a receipt (VAT where available) or monies will not be reimbursed. ACTION ALL

Public liability insurance, most of the venues we use will have cover for the buildings, but not necessarily for us personally. As the Plan is effectively sponsored by the parish council, it may be possible to extend the cover through the parish council’s insurer. Kathy Bovington to follow up with Lin Sargeant and Anne Thompson. ACTION KB

Display material for (all) open days

Adrian has not yet put his ideas onto paper and he would like help with computer work. A group will work with Adrian, consisting of Robert Tigg, Alan Tipper, and Karen Coppen, meeting on Wednesday next week, at Edlesborough School, 7.30pm. They will establish and design the generic content needed for the display boards. Keep some boards generic, and the rest to be village specific

Some info in the Tool Kit will be useful.

We need to have a corporate theme, but the actions need to be community specific. Need a logo, and common typeface, and colourscheme.

Eileen Bennett will have photos, that she may be willing to lend for displays..

Publicity/posters etc

The First information about the project and the open days will be distributed printed in the May Focus.

James Wright has designed a poster and a flier. Printing on yellow paper, will make it stand out. A minor adjustment was made to the wording, but it conveys the message clearly. Vicky Lee will get Dagnall fliers printed/copied, and Richard Dorrance will print/copy Northall copies. Edlesborough printing to be arranged. ACTION VL, RD,RT

Fliers to go with May Focus in Dagnall and Northall, Edlesborough to go in June copy of Focus.

Dagnall open day

Karen Coppen ran through the summary of the Dagnall sub committee meeting minutes from Monday. These minutes will be circulated to the whole group, and will be used to inform the planning for the other open days.

Kathy Bovington will estimate what we need to spend, (stationery, refreshments etc) and let us know, but stationery supplies over can be carried forward. It is not anticipated that these costs will be great.

Will be discussed after the open events.

Northall open day

Graham Rust has joined the group to represent Northall, and its 155 households. There are several options for meeting/open day space at the Swan, which Graham is very kindly allowing us to use.

Detailed planning will be based on the Dagnall planning/open day evaluation.

Edlesborough open day

Plenty of manpower is available, for the open days using the pavement outside Janes and the Memorial Hall. Detailed planning as in point 10.

Photographic competition

Focus May issue will have the competition details. Both schools have sent information out to all pupils, collection boxes have been organised, and will be in place shortly. Malcolm will ask Eileen Bennett to be a judge, and judge with her and another person still to be identified. ACTION MG

Prizes still to be sourced; various people will try and get them. Janes, and Hines Butchers in Eaton Bray, are among local businesses who will be asked to support. ACTION ALL

Will be looked at in detail at the meeting on 11th June.

Dates of next meetings

Tuesday 22nd May, after the final Dagnall open event, so the observations of first open day can be discussed, from about 9.00pm.
