Alan welcomed and thanked Sarah Allwood from BCA for joining our meeting this evening

1.Action items from previous minutes

1. Review of summary data from questionnaire

Work still needs to be done on questions 26-36, 41 and 43. The latter in particular threw up a need for information on single person households and the number of pre-school children in the Parish. Elizabeth to work on this. ACTION ELIZABETH

Elizabeth has completed a significant amount of work evidenced by the presentation of data on tonight’s agenda. We expect that following the presentation to the Steering Group and the Parish Council further cross tabulation work will be needed. ACTION PRESENTATION SUB-GROUP.

2. Agree sub-group and objectives for preparation and presentation of data to Parish Council

It was felt that once the analyses of questions 26-36, 43 and 41 has been done, the results will be put into rank order of importance. ACTION SUB-GROUP Completed

This will then be presented to the Parish Council precept meeting on 20th December (ACTION ALAN) Completed

And subsequently published in Focus, Feb 08. ACTION KAREN. Completed

This was delayed but Karen has confimed since the meeting that the article will appear in the next issue of Focus in February together with the dates of our public presentations –see agenda item below.

3. Agree timeframe/dates to offer the PC for a presentation meeting

Second half of January 08. Up to sub-group to meet to organise. ACTION ALAN Completed. Date arranged for 23rd January.

4. Discuss and agree the feedback methods/timeframe to the residents

A Parish flyer needs to be produced inviting all householders to come along to a detailed presentation in each village hall. These will take place over 1 evening, 1 afternoon and 1 weekend (dates tba). The latter to be arranged between the people involved with setting up the initial open days. The same format of presentation will be used – boards from BCA, Schools, Church etc with new information – and Jim will produce a PowerPoint presentation to go along with this. There will be audience participation in that they will form small focus groups led by a facilitator using bullet point headings, similar to the open days. Timescale: 10-20 March 08. See Agenda item below.

5. Establish sub-group and objectives for planning and organising the feedback to residents ACTION Agreed to work with the whole Steering Group for this. See agenda item below

Comments Typing – completed forms returned to Elizabeth (who passed them to Kathy for safekeeping), distribution of remainder to volunteers. ACTION VOLUNTEERS. Completed A big thank-you to all volunteers who helped to type the considerable number of comments.

2. Presentation of Data to the Steering Group.

Alan, Elizabeth, Jim and Richard presented the data to the Steering Group and asked for comments and critiques on the data analysis, the format for presentation and the colour and layout of the slides. The presentation was well received.

Suggestions were made to clarify elements of the data and to apply a consistent style to the slide layouts. Spelling errors were recorded by Kathryn . It was also suggested that we shorten the presentation for the Parish Council and the residents.

Specific items raised concerned more details on -

-The Bus feedback by village

-Speed limit information for Northall only to demonstrate the level of concern by the residents.

-Add number of responses to some slides to enable the audience to gauge the significance of responses

The input from the group will be built into the presentation prior to the presentation to the Parish Council. ACTION PRESENTATION SUB-GROUP.

Suggestions were made on the Next Steps portion of the presentation . These included -

Sharing the presentation with The Eaton Bray Parish Council as some of the items have joint relevance. It was also suggested that Ringshall be included in the sharing of information

Writing the plan

Coummunication to residents

These will be taken into account at future meetings of the Steering Group. ACTION STEERING GROUP

3. Planning for Feedback to the residents.

The following dates were agreed for presentations. The location and dates will be determined by the availability of presenters and local halls. Due the urgency of this to get the dates into Focus Alan was the only one available to do this. ACTION ALAN to confirm the next morning and give dates to Karen to get into Focus. Completed

The content of the event remains to be determined this will be an agenda item for the next meeting. ACTION ALAN

The issue of projection facilities was raised. Sarah suggested that BCA may be able to provide the equipment if we let them know the dates in advance. ACTION ALAN

4. Future meeting dates

Alan suggested (again!) that we get a regular date in the diaries so that everyone can plan their schedules in advance. In trying to get everyone at the meeting for the next date it was agreed to meet on Thursday 7th February –7.45 pm at Dagnall Church Hall.(Edlesborough is already booked by the Tilsworth Gospel Choir for rehersals!)

(Editor’s note we must have been so overwhelmed with the presentation no one can quite recollect what we agreed for the regular meetings. The nearest appears to be the fourth Thursday in each month (thanks Malcolm!). Let’s try again at this next meeting. Please bring your diaries!

Sarah asked if we had submitted any input to the Strategic Review that Bucks County Council was conducting. Information needed to be in by the end of January. Alan would raise this with the Parish Council and act appropriately. ACTION ALAN
