Marilyn Prys-Jones suggested that as Elizabeth Braiden is overloaded with work, another person should perhaps take over as chairman, to ease her workload. Karen Coppen is not an ideal Chairman option as she is very involved on the parish council. Alan Williams offered to take over as chair, as he now has more time available. All present agreed with these proposals. Thanks were given to Elizabeth Braiden, Karen Coppen (vice chairman) and Alan Williams for their contributions now, and going forward.

Matters arising (and not covered by agenda)

Kathy Bovington has had no luck getting detailed finance info from other parish plans, so Karen Coppen to try and get finance info from Little Gaddesden. ACTION KC/KB

Printing options for the questionnaire are still being explored.

Public liability insurance is in place, via Parish council, as long as the PC receive copies of the minutes of steering group meetings. This covers all the activities/events of the steering group.

Thanks to Adrian Bush for the logo, and the colour schemes, and the work in preparing the displays for the open days.

Eileen Bennett will show Jim Wright photos for Edlesborough open day, they will select old and new images to use. Also photos from Ben Wright are available. ACTION JW

Mick Yates is doing a copy of the WI book for Edlesborough Open Day.

We have plenty of photos and other material for Edlesborough.

Other points have been covered.

Finance

Opening balance of £1765 (£1265 via BCA grant + £500 from PC).

Current Balance is £1664.41.

Expenses so far are for refreshments for initial meetings, and open days, and for stationery. Donations for refreshments at the open days have totalled over £38 so far.

Example budgets from other Parish Plans – still chasing Little Gaddesden for their budget.

Donations to Edlesborough and Dagnall Schools (for copying/laminating) – Robert Tigg has asked The Villagers(reg. charity) if they will make a contribution to the schools on our behalf – he will know shortly.

Fundraising – St. Marys Carnival

We need to take a stall to publicise EDaN project and the questionnaire.

Robert Tigg will organise this for us via the carnival committee. Elizabeth Braiden, Christine Yates, Karen Coppen, Alan Williams, Jim Wright will all do some time on the stall. 2 tables are booked and KAREN COPPEN will ask BCA to borrow display boards again. Photo competition displays, and info about the project will go up. Some method of recording comments needs to be agreed, as the audience will be wider than the parish – we could use a book, or post it notes – identify home village. To raise funds a sweets tombola or similar was suggested, something accessible to all age groups, Robert Tigg will coordinate all aspects . Gazebo? ACTION RT/KC/EB/CY/JW/AW

Dagnall Open Day – Malcolm Grant has done the

summaries, which have been circulated – thank you.

Northall Open Day – Malcolm Grant will summarise them, and then summarise the responses to the Edlesborough Open Day. ACTION MG

Well done to the team at Northall,- Richard Dorrance, Jim Wright, Kathy Bovington, Karen Coppen, Alan Williams.

Forward responses to Edlesborough Parish Council - after all the open days have been finished., summaries of each set to go, as a finished matrix, ie sorted into common themes across all three villages, moving down to topics applicable to a single village only. It was felt this would enable the Parish Council to been seen to be responsive to the public requests, as several topics are already being worked on by the PC.

Edlesborough open day

Edlesborough Subcommittee update – all the prep for the open days was done on a tight schedule - thank you to all who helped.

The Memorial Hall is available on Fri evening, 22nd June for setting up. 7.30pm start, Elizabeth Braiden, Robert Tigg, Alan Williams, Kathryn Day. Karen Coppen will bring up the boards, stationery, and refreshments.

On the day we need an early team outside Janes from 7.30am, Alan Williams, Mick Yates will start early. ACTION EB/RT/AW/KD/KC/MY

Robert Tigg will contact us to ask for availability on Saturday.

The WI will be asked if they could bake some cake for us. ACTION EB

Need something for the children – Vicky Lee to ask Debbie Dunstan, Alan Williams to ask Edlesborough Under Fives. ACTION VL/AW

Parish Council will use the Memorial Hall on 23rd June, between 11 and 12am, to show off the new floor to some invited guests.

Edlesborough School fair 16th June – chance to publicise/hand out flyers. Eds school have had fliers and have circulated them to every family. Marilyn Prys-Jones will hand out more fliers at the fair. Vicky Lee to print and copy onto coloured paper for her. ACTION VL/MPJ

Invitations to clubs

WI will be given fliers by Elizabeth Braiden, Alan Williams will also attempt to contact other village groups to see if they will put info into the displays to publicise themselves, and also to attend.ACTION EB/AW

Posters – about 20 needed, a few will need to be laminated.

Logo needs to go on if possible, Jim Wright will try to get it from Adrian Bush. ACTION JW

Flyers in shops/café/garage – put in some more controversial input! Jim suggested some amendments to flier/poster content which was agreed. Edlesborough people Marilyn Prys-Jones, Jim Wright, Robert Tigg, Elizabeth Braiden will agree between themselves who delivers to which bits of Edlesborough. ACTION MPJ/JW/RT/EB

Jim Wright to get 1000 printed before end of week ACTION JW

Photographic competition – prizes

Dormans will give two prizes to one of the age groups, printing an image on a Tshirt.

Alan Williams will ask Kodak about single use cameras. ACTION AW

Christine Yates will provide a trophy for overall winner. ACTION CY

Elizabeth Braiden will get more vouchers from Dormans. ACTION EB

Competition entries have been received from Beavers.
